The 4 Most Common Mistakes with CAFM Systems And How You Can Easily Avoid Them

Sadly, when it comes to implementing a CAFM system too many Facility/ Operational Managers make simple mistakes which cost them dearly. If you’re not careful, you could follow in their footsteps and end up falling well short of your goal.

#1 Not Taking Time To List Your Requirements for a CAFM system. 

 

Far and away the most common mistake Facility/ Operations Managers make is not taking the time to detail their requirements for a CAFM system. We see it all too often – we’ve honestly lost count of how many people we’ve come across who have made this error.

 

If you don’t map out your system requirements, then inevitably you are going to end up with a system that is not fit for purpose and won’t address any of the critical pain points you were looking to resolve in the first place. That’s why it’s important to do this prior to speaking to any provider.

 

#2 Focusing Solely On Price for CAFM systems

 

Focusing Solely on price is another common mistake and is right up there with not mapping out your requirements in terms of the amount of £1000’s it costs facility/ operational managers. It’s such an easy mistake to avoid, but it happens WAY more often than it should.

Focusing solely on price rather than the features and requirements is a recipe for disaster. We all have budgets to work to, but it’s going to cost you more in the long run if you don’t implement a CAFM system specific to your needs. Plus, you will end up having to do the same process all over again. If it doesn’t quite address the fundamental requirements, don’t go for fit!

 

#3 Overlooking Scalability and Customisation for a CAFM system. 

 

This mistake might not be as common as the first two we’ve outlined – but that doesn’t make it any less harmful. In fact, it could be the most costly out of the three – an error that could see you throw away £1000’s of wasted time and leave you further away from achieving your goal than when you first started.

You don’t want to be in a position whereby you implement a system only to find in 12 months’ time it’s just not suitable. Make sure the provider has larger clients so you know the system can cope with high levels of demand. Make sure it’s easy to update, change and add information so you know it has the flexibility with future use. Finally, make sure the software is constantly being updated with new features to evolve with the ever changing demands of the industry.

 

#4 Ignoring Training & Support

 

While not as costly as overlooking scalability and customisation this one can still have serious consequences.

The CAFM system provider should be working with you on what you require initially in terms of set up and training so you can understand and get to know the system. Don’t be afraid to ask for more training if needed. It will save you time trying to work things out yourself. You don’t necessarily need to know everything about every single feature of the software. You just need to have a good understanding of the ones that are relevant to you. It’s important you have a good grasp of the system, so if you are training others or new starters in the future, it doesn’t hinder the adoption of the system.

 

In conclusion, the path to a successful CAFM system implementation is riddled with common pitfalls, but with awareness and diligence, these can be easily sidestepped.
